GUEST PARTICIPATION AGREEMENT  

For 

Tropical Haven in Puerto Plata: May 15–19, 2025  

Between  

[Studio 448 Event Planners LLC] and [Quiante’s LLC Name] (collectively, “Organizers”) 

1. BOOKING & PAYMENT

  1. Reservation & Launch Incentive:

    1. International Women’s Day Special (March 8, 2025): Secure your spot with a $500 non-refundable deposit (discounted from $750).  

    2. Standard Deposit (After March 8, 2025): $750 non-refundable deposit required.  

  2. Payment Plan Options:  

    1. Full payment must be completed by April 15, 2025. Automatic charges will apply. 


















       

  3. Pay-in-Full Discount

    1. Guests may pay the full balance by March 15, 2025 to receive a $100 discount (e.g., private room: $3,100; shared room: $2,700).  

  4. Missed Payments: 

    1.  Payments >7 days late will result in forfeiture of deposit and reservation cancellation.  

  5. Mandatory Trip Insurance:

    1. Guests must provide proof of travel insurance (covering cancellations, medical emergencies, etc.) by April 1, 2025.  
       

2. CANCELLATION POLICY

  1. Before March 15, 2025: Guest receives 50% refund (excluding deposit).  

  2. March 15–April 15, 2025: 25% refund (excluding deposit).  

  3. After April 15, 2025: No refunds. *All refund requests after April 1 must be filed through travel insurance.

  4. No room switches permitted after April 15, 2025.
      

3. GUEST RESPONSIBILITIES

  1. Travel Documents: Guests must provide a valid passport, flight details, and emergency contact info by March 29, 2025.  

  2. Code of Conduct: Guests agree to respect all participants, staff, and local laws. Organizers reserve the right to remove disruptive guests without refund.  

  3. Health & Safety: Guests acknowledge risks associated with excursions (ziplining, ATV tours, nightlife, etc.) and assume full responsibility for participation.  
     

4. LIABILITY WAIVER

  1. Release of Liability: 

    1. Guest releases Organizers from liability for:  

    2. Injury, illness, or death during the Event.  

    3. Loss/damage of personal belongings.  

    4. Changes to the itinerary due to weather, vendor issues, or force majeure.  

  2. Medical Emergencies:  

    1. Guest authorizes Organizers to seek emergency medical treatment if needed. Guest agrees to cover all related costs.  
       

5. ITINERARY CHANGES 

  1. Organizers reserve the right to modify activities, accommodations, or schedules due to safety, weather, or logistical needs. No refunds for changes.  
     

6. PHOTOGRAPHY & MARKETING RELEASE

  1. Guests consent to use of their image/video in Organizers’ promotional materials.
      

7. DISPUTE RESOLUTION

  1. Disputes will be resolved under New York State law. Guest waives the right to a jury trial and agrees to arbitration.  
     

8. ACKNOWLEDGEMENT 

  1. Guests confirm they have read and agree to all terms.
